Get Local Copy and Open Document

When checking out a document, you can:

  • Edit cells, a group of cells, or a column in the table of documents and their properties

  • Get a local copy and optionally take ownership, open the document, or both

To check out a document:

  1. In the vault view:

    • In the SolidWorks client, right-click a document and select Open / Check Out Document.

    • In the SolidWorks Explorer client, select a document and click Open or Checkout document on the Mini Toolbar.

  2. Edit the properties in the dialog box as described below, then click Open / Check Out.

Global Options

Get references. If you check out references along with the main document, choose that they be As built (the revisions of the references when the parent was last built) or Latest revisions.

Open now. Opens the main document in its associated application. To open a document, you must get a local copy.

Document list

Documents are listed in a table. The document names are displayed in an indented list with an icon for the type of document (assembly, part, drawing, and so on).

First select any references to be checked out, then select options and edit cells.

  • The check box under Options shows whether the document is to be saved locally.

  • A copy of the document is saved in the folder on the local computer designated in the column Save In Folder.

To select all documents:

Click the Options header.

To clear all documents

Clear Get local copy.

The check boxes in the left-most column of the table are cleared.  

To select or clear documents individually:

Select or clear the check box in the row with the document name.

Options for Individual Documents

Get local copy? Fetches a copy of the document from the vault to your local workspace.  

Take ownership? Gives you exclusive right to create the next revision of the document. Select this option to get the document for editing. See Change Ownership.

Icons in the Options column include:

  • Take ownership

  • Document status, The vault has a newer version or A local version of the file does not exist, for example (read only information). View the icon's tooltip for details.

To specify options for all documents:

  1. Click the Options header.

  2. Select or clear Take ownership.

The icons for all documents become active or inactive.

To specify options for individual documents:

Click the icon in the row of any document selected for check-out.

Editing column data

For the selected documents, you edit column data.

Project is read-only. If a user other than you is listed under Owner, you cannot take ownership.

When checking a document out, you can:

  • Browse to select a folder for Save in Folder.

  • When more than one Revision is available, choose the revision to check out from the list.

When checking a document in, you can:

  • Type a  Number, Description, or Note.

  • Choose the Revision to check in from the list.

To edit column data:

  1. Select a cell or a group of cells within a column, or click a column header to select a whole column.

  1. In the column control box above the table, type text or select from the list (for Revision, for example).

For a single cell, you can also edit the cell in place rather than in the column control box.

  1. Click Apply.

Right-click a column header and select  Find/Select to search within column categories.  

Output to File

To save the information in the table to a file, click Output to File.
