Use the Folder Notification dialog box to add or edit automatic notifications for all files in a folder.
To open the Folder Notification dialog box, open the Properties dialog box for a state or transition. On the Notifications tab, click Add Folder Notification. In the Select Folder dialog box, select a folder and click OK.
Folder and Type
Folder |
Identifies the folder for which the notification is being created. Click the Browse control (...) to change the selection of folders.

Type |
Specifies the type of notification to create. For a notification for a state, the available types are:
- Check in
- Check out
- Delayed in State
For a notification for a transition, the notification type is always Change Workflow State.

Notification Properties Tab
The Type of notification you select determines the fields on the Notification Properties tab.
Check In (State notifications only)
|
Sends a notification when the file is checked in to the vault. You can restrict the notification to:
- Only to file creator
- Only to last state modifier
|
Check Out (State notifications only)
|
Sends a notification when the file is checked out of the vault. You can restrict the notification to:
- Only to file creator
- Only to last state modifier
|
Delayed in State (State notifications only)
|
Sends a notification when the file has been in the workflow state for an amount of time that you specify.
Workflow Indicates the workflow to use
|
State Lists states that are available in the selected workflow.
|
Trigger after n day(s) in state 'xxx' Sets the number of days the file is in the selected state before the notification is sent.

Resend every n day(s) Sets the frequency with which to resend the notification.
|

Change Workflow State (Transition notifications only)
|
Sends a notification when the workflow state of a file in the selected folder changes. The state fields are determined by the transition and cannot be edited.
You can restrict the notification to:
- Only to file creator
- Only to last state modifier

Recipients Tab
Use the Recipients tab to specify the users who receive the notifications.
Add Recipients |
Opens the Add recipients dialog box, where you can choose users and groups to receive the notification. |
Remove |
Removes the selected recipients. |
Recipient |
Lists the users and groups that the notification will be sent to. |
Dynamic Selection (Transitions only)

Identifies users who can choose notification recipients and add notification comments when they run the transition. |
