Sending and Receiving Notifications
Notifications inform, remind, or alert users that a file has changed
state or has been checked in or out. They also send information between
users.
All notifications and notification settings are inherited by all subfolders,
unless they are changed in a subfolder.
Sending Manual Notifications
To send a notification:
Right-click
a blank area of the file view and select either:
Notify,
A Colleague
Inbox
In
the dialog box:
Select the vault.
Select Text
Messages.
Click
.
Select a user for To.
Type a subject and
message.
Click Send.
To send a notification to a user with a file that is
checked out:
Right-click the checked-out file and select Notify,
User who has checked out file.
Type a message.
Click Send.
Getting Automatic Notifications
You can receive automatic notifications based on changes to individual
files or groups of files.
To receive an automatic notification based on changes
to an individual file:
Right-click a file and select Notify.
Select an option to specify when you want to be
notified:
To send an automatic notification based on changes to
all files in a folder and sub-folders:
Right-click a blank area of Windows Explorer and
select Notify,
Me When.
Select the folder and subfolders.
Click Add Assignment.
Select the occurrence to trigger a notification.
Receiving Notifications
Manual notifications
When you receive a manual notification, a message appears in the lower
right of the screen. Click the icon to access the following options:
Discard message
Show Next
Inbox
Forward
and Reply
Automatic notifications
When you receive an automatic notification, a pop-up message icon appears
in the lower right of the screen. You may receive a single notification
for a group of files that changed state.
