User Properties - Permissions per Folder Tab

Use the Permissions per Folder tab to assign the user permissions to individual folders in the vault. You can also use the Assigned Folder Permissions tab to view and modify folder permissions.

To access this page:

  1. Display the user's Properties dialog box.
  2. In the left pane, click Folder Permissions.

Folders

All vault folders are listed in the folder tree in the top pane.
The Items root folder is listed only after someone has visited the vault from Item Explorer.

Select a folder to which you want to assign permissions. Expand folders to assign permissions for subfolders.

Folder Permissions

Use the check boxes to assign or remove folder permissions.

In many cases, users cannot manage files unless they have both folder and state permissions set. For example, to check out a file, a user must have check out file permission for both the folder and state the file is in.

When you give users permissions to a folder, all subfolders inherit those same permissions until they are explicitly removed in a subfolder. From that point, the permission is removed from the subfolders.

Permission

User can:

Activate computed BOM

Activate computed BOMs of files in the selected folder so they are visible in the Bill of Material Explorer view. This permission is not applicable to items so is unavailable for item folders.

Add or rename file

Add or rename a file or subfolder in the selected folder.

Add or rename folder

Add new subfolders or rename existing subfolders in the selected folder.

Assign file permissions

Modify other users' permissions to access the files in a vault folder.

Assign group membership

Give individual users group access to the selected vault folder.

Can update the design of cards

Add and modify data card layouts for files and folders in the selected folder (note that this only applies to modifying card layout using the card editor).

Check out file

Check out a file for modification in the selected folder.

Delete file

Delete files in the selected folder.

A deleted file normally ends up in the Enterprise PDM recycle bin.

To delete a file, the user must also have delete permission in the workflow states the file has been in.
Delete folder Delete subfolders in the selected folder.

Destroy

Purge deleted files from the Deleted Items tab in the folder properties.

The user can bypass the Enterprise PDM recycle bin by pressing Shift while deleting the file.

To destroy a file, the user must also have destroy permission in the workflow states the file has been in.

Edit folder card data

Update variable values in folder card of the selected folder.

Edit version free variable data

Update version free variable values on data cards of files in the selected folder and workflow state.

Increment revision of a file

Manually increment revisions of files in the selected folder if the workflow has been configured to user revisions.
A manual revision only appears as a label in the version history of a file. To update a file card with a revision number, use the Set variable transition action in addition to this permission.
May see files before initial check in (Private State) See files added but not checked in to the vault by other users.
The details of the file appear in italics in the Windows Explorer file view and search results. Users cannot perform any actions on private state files.
Move file Move files in the selected folder.
Move folder Move subfolders in the selected folder.

Permit or deny group-level access to files

Set group permissions on a selected file. Group-level access to items is not supported so this permission is unavailable for item folders.

For a file in this folder, a user with this permission can use the File Permissions tab in the Properties dialog box to select groups that will have file-level access. Only users who are in the selected groups and have the appropriate folder and workflow state permissions will be able to access the file. Users who are not in the group will not see the file regardless of their folder and state permissions.

You can also enable group-level access to all files created by a specific user as a default setting from the Permissions per File tab for that user. See User Properties - Permissions per File.

Read file contents

See a file in the selected folder.

Read named bill of materials

Select named BOMs for files in the selected folder.

Recover files from recycle bin

Recover files (that have previously been deleted) from the Deleted Items tab in the folder properties.

Restore file from cold storage Recover files that have been archived in cold storage.
If the cold storage schema specifies files for deletion, the files cannot be restored.

Rollback

Use the Rollback command in the file History dialog box. When you perform a rollback operation, you are prompted to add a comment that will appear in the file's history.

Rollback is not supported for items so this permission is unavailable for item folders.

See computed BOM

Select computed BOMs for files in the selected folder.

Share file to another folder

Use the Share feature on a file in the selected folder. Sharing items is not supported so this permission is unavailable for item folders.

Show working versions of files

See both working versions and revisions of files.

To see a file that has no revision set (or if revisions are not being used), this permission must be set together with Read file contents.
