Incrementing Revisions

When a file has reached a certain state, you can assign a revision number to the latest version. For example, when an assembly is approved for manufacturing, you can give it a revision number to identify the approved version. Each new revision gets a new, incremented revision number that is assigned either automatically during a state transition or manually by you.

Incrementing Revisions Automatically

A revision is incremented automatically when a file passes a certain state transition as defined by the administrator.

Incrementing Revisions Manually

You can manually increment the revision number if these conditions are met:

  • The file is not checked out.

  • You have permission to increment revisions in Rights Assignment.

  • You are assigned rights to increment revisions in the current state under State Rights in the workflow.

  • A revision scheme has been defined for the current state of the file.

To increment revision number manually:

  1. Right-click the file and select Increment Revision.

A dialog box appears with information about the files and its referenced files.

  1. Verify that the revision number can be incremented:

If OK is not displayed in Results, a message explains the problem (lack of access rights, for example).

  1. To change the options of the Increment Revision dialog box, right-click in the dialog box and select options.

  2. Click OK to increment the revision.

To check the newly-assigned revision number of the file:

Right-click the file in the Explorer and do one of the following:

    • Select History. The dialog box lists the new revision number with details.

    • Hover over Get Version to display all assigned revision numbers, which appear first on the list. You can also display all versions if Show versions is selected in Rights Assignment, which gives you rights to view versions.
